Executive Support Opportunity at Dalton Electrical – Executive Assistant Wanted! 

Dalton Electrical is a proud, family-owned business that has been providing electrical and automation services to New Zealand’s largest and most innovative manufacturers for over 50 years. With over 150 staff across offices in Penrose, Rosedale, and Wiri, we have built a reputation for excellence, and we're looking for an enthusiastic and dedicated Executive Assistant to the Senior Leadership Team to join us at our Central location (Penrose).

About the Role: 

This full-time position is based at our Penrose office, conveniently located a 5-minute walk from the train station. Working Monday to Friday with flexible hours available (core hours typically 7:00 am – 4:30 pm), you will play a crucial role in ensuring the smooth and efficient operation of our administrative functions and providing key support to designated individuals within the team. Your responsibilities will be diverse and include: 

  • Executive Assistance: Manage calendars, schedule meetings and appointments, prepare correspondence and reports, and handle confidential information with discretion. 

  • Communication Management: Act as a primary point of contact, managing the shared inbox an calenders, screening and directing calls, taking accurate messages, and responding to inquiries. 

 
  • Client Liaison: Assist with client communication, including preparing documentation, following up on requests, and ensuring a high level of customer service. 

  • Administrative Coordination: Provide comprehensive administrative support, including document preparation, filing, data entry, and maintaining organised office systems. 

  • Financial Administration Support: Assist with processing invoices in our software system (Lentune), troubleshooting data import issues, and liaising with suppliers on queries. 

  • System Support: Assist with our job costing system (SimPRO) to ensure data accuracy and provide administrative support as needed. 

  • General Office Management: Ensure the smooth running of the office, including managing supplies and coordinating office maintenance as required. 

 

What We're Looking For: 

We are seeking a proactive and meticulous Executive Assistant with exceptional organisational and communication skills. You will be a self-starter with a strong ability to manage multiple tasks and prioritise effectively. 

Essential Qualifications: 

  • Exceptional Communication & Interpersonal Skills: Demonstrated ability to communicate effectively and professionally, both verbally and in writing, with a friendly and helpful manner. 

  • Strong Organisational Skills: Proven ability to manage time effectively, prioritise tasks, and maintain meticulous attention to detail. 

  • Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is essential. Experience with SimPRO and Lentune will be considered an advantage. 

  • Proven Experience: At least 3 years of proven experience as a Executive Assistant, or in a similar administrative support role. 

  • Proactive and Initiative-Taking: A demonstrated ability to anticipate needs, identify problems, and take initiative to find solutions. 

  • Discretion and Confidentiality: Ability to handle sensitive information with professionalism and maintain strict confidentiality. 

  • Team Player: Ability to collaborate effectively with team members and contribute to a positive working environment.
