Our client is a highly regarded Project Management consultancy known for successfully delivering high quality construction and refurbishment projects across a broad range of sectors, including commercial, residential, education, aged care, hospitality, infrastructure, and sports facilities.

They are a close-knit team of senior project managers who take pride in delivering award-winning projects and have built a strong reputation for securing consistent repeat business, from a long-standing and enviable client base.

On their behalf, we are seeking a Part Time Project Administrator to support their Project Management team.

This is a part-time role, for 20 hours a week, which may increase overtime and build up to 25 - 30 hours a week. This is an office-based role, and ideally, we are looking for those that can work the hours over 3 or four days a week. (Mon- Thurs).

We are keen on attracting someone who has previous experience as a Project or Construction Administrator.

Role will involve:

  • Manage and maintain accurate project files and documentation across all stages of the project lifecycle.

  • Draft progress certificates, contract instructions, RFP’s and variation documentation.

  • Prepare client communications, letters, reports, and project updates on behalf of the Project Managers.

  • Assist in the preparation fee proposals, construction tenders, progress claims, and budget tracking.

  • Manage project documentation and support key communications with clients.

  • Prepare meeting agendas and accurately record and distribute minutes.

  • Track budgets and project spending, updating Excel cost spreadsheets as required.

  •  Liaise with suppliers and subcontractors for quotes, purchase orders, and delivery schedules

  • Develop and maintain strong relationships with the Project Management team

  • Support Project Managers in coordinating their day-to-day administrative needs.

  • Provide occasional marketing support, including organising events and assisting with light PA duties when required.

 

About You

  • Must have prior experience in a project administration, construction admin, or consultancy support role.

  • Excellent computer skills including MS Word and intermediate to advanced Excel

  • Strong administrative and organisational skills.

  •  Deadline oriented with strong time management skills

  • Proactive, organised work habits. 

  • Strong attention to detail. Accuracy in your work.

  • Have a can-do attitude, willing to pitch in where needed

  • Excellent verbal and written communication skills.

  • Able to work in the Ponsonby office for 3-4 days week

 This could really suit a parent who is looking for school hours and we would prefer someone who can commit to a permanent long-term, part-time role. (Students please do not apply).
