Requirement:

  • At least 3 year relating working experience  or  NZ Diploma in business qualification  equivalent

  • Strong analytical and research skills, with experience in data normalization and visualization;

  • Excellent communication skills;

  • Excellent time management skills;

  • Reliable and able to work under pressure.

Duties and Responsibilities:

  Work Schedule Management – Appointments and Travel Arrangements

  • Schedule appointments for the director.

  • Ensure appointments between the director and clients are arranged timely and at the correct location.

  • Organize ticketing and accommodation for both domestic and international travel.

  • Utilize organizational tools to optimize scheduling efficiency

Phone Communications

  • Make phone calls for the director, and coordinate phone meetings via WeChat, Skype, or multi-party calls.

  • Handle inquiries from potential clients and filter them before passing on to the director.

 Take Dictation and Reply to Letters

  • Record meeting minutes, take dictation, and organize meeting bookings and related facilities.

  • Arrange translations for business-related content.

 Process Mails and Maintain Records

  • Research, prepare, and format emails, letters, and reports.

  • Draft emails for the director and get approval before sending them.

  • Save all emails in the server for future reference.

  • Maintain digital records systematically

Attend Meetings and Act Accordingly

  • Organize staff meetings with agendas.

  • Schedule training sessions on new industry regulations, preparing all necessary samples and documents.

  • Attend events on behalf of the business when the director is unavailable.

  • Maintain the director’s website.

Research and Prepare Reports

  • Prepare marketing appraisals for the business.

  • Write marketing copy, and organize promotional activities including photos, signage, and media.

  • Conduct market research to support the business. 

  • Create data-driven marketing appraisals

  • Perform additional tasks as assigned by the company.
