Role Overview
As a Licensed Immigration Adviser Secretary, you will be working closely with our immigration adviser to support the day-to-day operations of our immigration advisory services. You will provide administrative assistance and clerical services in preparing documents, handling client communications, and ensuring smooth workflow within the immigration service department.
Job Title: Licensed Immigration Adviser Secretary
Location: Auckland Region
Employment: Type Permanent & Full-time
Days required: Monday to Friday Standard Time 1pm to 9pm Daylight Saving Time 2pm to 10pm
Hours per week: A minimum of 30 hours a week guaranteed, a maximum of 40 hours a week
Wage: 25-30 before tax per hour

Key tasks & Responsibilities:
- Arranging Video/Zoom/Skype appointments
- Drafting Client Service Agreements
- Drafting application forms for various immigration applications
- Taking dictation and drafting accordingly of the documents for immigration purpose such as but not limited to PPI letters, cover letters, email correspondence to various 3rd parties and etc.
- Maintaining and monitoring the LIA’s digital calendar to make sure all deadlines are met, and appointments are properly made without clashing while making reschedules where necessary
- Maintaining and taking meeting minutes between the LIA and the clients
- Maintaining the file notes for each client
- Filing and sorting clients’ documents, including the physical ones, as well as the digital ones that are kept in the online cloud storage sharing between LIA and you
- Assisting in drafting emails as instructed by the LIA
- Processing and filing incoming and outcoming correspondence including online chat history, physical mails and emails as per instructions
- Making and sending invoices to clients when appropriate
To be right for this role and our organization, you need:
- Relevant Diploma (administration, commerce, management, business etc) or higher qualification. Three years' relevant experience can act as a substitute for qualification.

Excellent written and verbal communication skills

Proficient in Microsoft Office Suite, Adobe and other office software

Strong organisational and time-management skills with the ability to prioritise tasks

Ability to work independently and as part of a team

Knowledge of New Zealand and Australian immigration systems is a plus
- Previous experience in NZ or AU visa applications is a plus
