ZY House Limited is looking for a Full time (35 hours/week) Personal Assistant to join our team in West Auckland. The PA will provide comprehensive administrative support to the management team of our construction company. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The PA will act as a liaison between management and other staff while ensuring smooth operations in a fast-paced construction environment.

Key Responsibilities

  1. Administrative Support:
  • Manage calendars, schedule appointments, and coordinate meetings for senior management.
  • Prepare and organize documents, reports, and presentations.
Communication:
  • Serve as the primary point of contact for inquiries, ensuring timely and effective communication both internally and externally.
  • Draft correspondence, emails, and memos as necessary.
Project Coordination:
  • Assist in tracking project timelines and milestones.
  • Support project managers by providing relevant documentation and logistical assistance.
Office Management:
  • Maintain filing systems, both electronic and physical, ensuring documents are easily accessible.
  • Order office supplies and manage inventory.
Financial Assistance:
  • Help with basic bookkeeping tasks, such as invoice processing and expense tracking.
  • Assist in budget preparation and management.
Stakeholder Interactions:
  • Coordinate with subcontractors, vendors, and clients to ensure smooth collaboration and communication.
  • Attend meetings and take minutes, if required.

Qualifications

  • Education: NZQF diploma or equivalent; a degree in business administration or a related field is a plus. 
  • Experience: If education qulification is not availbel then Minimum of 2 years of experience as a personal assistant or in a similar administrative role, preferably in the construction industry.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational and multitasking abilities.
    • Strong written and verbal communication skills.
    • Knowledge of construction terminology and processes is beneficial.
