Our client is one of Aotearoa’s most respected and longstanding charitable organisations. For four decades, they’ve championed wellbeing, equity, and community connection. We believe in respect and dignity for all sexual orientations and gender identities.

They are now seeking an exceptional Executive Assistant to support the Executive Leadership Team and help drive the organisation’s mission forward.

This is not your standard EA role. Positioned at the heart of the organisation, you’ll be a key enabler of executive success—bringing clarity, rhythm, connection, and momentum to the work of the leadership team.

If you thrive in a purposeful environment, bring maturity and sound judgement, and enjoy operating calmly amid complexity, this role offers both challenge and meaningful impact.

About the Role

You’ll be responsible for ensuring leadership priorities are understood, communication flows smoothly, and governance and operational rhythms are well supported.

Key responsibilities include:
• Managing calendars, travel, and meeting arrangements for the CEO and Executive Leadership Team.
• Preparing high-quality agendas, briefings, minutes, and executive packs.
• Coordinating internal and external hui, events, and engagements.
• Tracking and following up on agreed actions, priorities, and organisational commitments.
• Supporting Board logistics and documentation in collaboration with the Board Secretary.
• Assisting internal communications alongside the Chief Advisor to the CEO.
• Managing incoming executive correspondence and maintaining accurate, secure records.
• Upholding best practice in health, safety, and wellbeing.
• Contributing to a positive, inclusive team culture that reflects the organisation’s values.

What You’ll Bring

• Proven experience providing high-level administrative or executive support to multiple senior leaders.
• Strong organisational skills, time management, and meticulous attention to detail.
• Experience supporting governance or board processes.
• Excellent written and verbal communication skills.
• The ability to maintain confidentiality, exercise sound judgement, and navigate sensitive information.
• A collaborative, relationship-driven approach with the ability to work effectively across a diverse organisation.
• Confidence with Microsoft Office and digital collaboration tools.
• A commitment to inclusive practice.
• The ability to work respectfully with people from a wide range of cultures.
• Knowledge of, or a willingness to learn, Tikanga Māori and Te Reo Māori.

This is a rare opportunity to step into a key role within an organisation known for its heart, purpose, and commitment to community wellbeing. You’ll be working with authentic, values-driven leaders and contributing directly to meaningful impact across Aotearoa—while being based in vibrant Ponsonby.

If you’re a calm, confident, and experienced EA who loves bringing order to complexity and supporting leaders to do their best work, we’d love to hear from you.
