V N International Services Limited is seeking a professional and organised Personal Assistant to support daily operations in the Auckland region. This role involves managing key administrative and operational tasks to ensure a smooth, efficient workflow across the business, specifically in the car wholesaling industry.
Key Responsibilities:
• Provide high-level personal and administrative support to the Director to ensure the efficient day-to-day operation of the vehicle wholesaling business.
• Manage the Director’s diary, appointments, and travel arrangements, prioritising tasks to support business operations and decision-making.
• Handle incoming phone calls, emails, and business correspondence on behalf of the Director, ensuring timely and professional responses.
• Coordinate communication between the Director, sales staff, yard staff, and external stakeholders to maintain smooth internal operations.
• Assist with invoicing, billing, and payment follow-ups related to vehicle sales, purchases, and associated services, ensuring accuracy and compliance.
• Support the preparation of financial, sales, and operational reports, including vehicle stock movement and performance summaries.
• Organise and coordinate meetings, supplier visits, vehicle inspections, auctions, and industry-related appointments.
• Assist with implementing operational strategies to improve vehicle turnover, stock management, and overall business efficiency.
• Maintain accurate records relating to vehicle inventory, compliance documentation, supplier agreements, and business expenses.
• Liaise with vehicle suppliers, auction houses, logistics providers, and service agents to support vehicle acquisition and distribution processes.
• Respond to staff queries and operational issues promptly to ensure effective communication and issue resolution.
• Provide support with compliance-related tasks, including record-keeping for vehicle documentation, licensing, and regulatory requirements.
• Undertake additional personal assistant and administrative duties as directed to support the ongoing operations of the car wholesaling business.
The candidate will be required to work a minimum of 30 hours per week and be paid between $30 and $35 per hour, subject to skills and requirements.
Other Key Requirements:
• A bachelor’s qualification in Arts or Commerce, or a minimum of 2 years of relevant work experience.
