About the Role

We are seeking a dedicated and organised Secretary to provide comprehensive administrative and secretarial support to our Board of Trustees and senior members. This role is essential in ensuring the smooth operation of the organisation’s governance and daily administrative functions.

This is a full-time, permanent position based in Auckland.  The work hours are generally between 9 a.m to 5 p.m. Monday to Friday for at least 37.5 hours per week.  The remuneration of the position will be between NZD 60,000 to NZD 70,000.

Key Responsibilities

  • Provide secretarial and administrative support to the Board of Trustees and senior members of the organisation.
  • Prepare and maintain agendas, minutes, correspondence, and documentation for board meetings, AGMs, and organisational activities.
  • Maintain accurate organisational records, including policies, registers, statutory documents, and official correspondence.
  • Manage internal and external communications with members, schools, community partners, and other stakeholders.
  • Oversee day-to-day office administration, including filing systems, document management, and administrative workflows.
  • Assist with the preparation and coordination of reports, submissions, and funding-related documentation.
  • Support the administrative coordination of performances, workshops, and community programmes as required.
  • Ensure confidentiality, accuracy, and professionalism in all secretarial and administrative duties.

Requirements

  • Tertiary qualification in Business/Management or a related field.
  • At least 6 months’ work experience in an office or administrative environment.
  • Demonstrated ability to perform general secretarial duties with strong organisational and communication skills.
  • Ability to work independently, manage priorities, and exercise sound judgement.
  • Proficiency in standard office software and administrative systems.
