N&X ROOFING LIMITED is a roof-related construction company based in Auckland New Zealand. As our business continues to grow, we sincerely invite experienced professionals with strong executive support and administrative coordination skills to join our team as a Personal Assistant and contribute to the company’s ongoing development and operational excellence.
Main duties of this role:
· Screen incoming calls, emails, and general inquiries on behalf of the Director, prioritising urgent matters and ensuring timely responses.
· Serve as the primary administrative liaison between the Director, internal staff, clients, and external business partners to ensure timely communication across all parties.
· Maintain the Director’s appointment diary, schedule meetings, site visits, and manage daily work calendars and related arrangements.
· Under the Director's guidance, assist in coordinating project schedules, workforce arrangements, and related administrative support tasks smooth assist to support the smooth progress of roofing operations.
· Assist the Director in drafting, formatting, and proofreading project-related documents, and routine business correspondence.
· Maintain and file confidential records, including contracts, internal administrative files, and project documents.
· Organize internal and external meetings, prepare agendas, record meeting minutes, and follow up on action items to ensure the Director's instructions are communicated and implemented.
· Summarize project progress updates, labour information, and operational data to prepare briefing notes and routine reports for the Director’s review.
· Provide day-to-day administrative and coordination support to the Director to assist in the smooth running of daily business and operational activities.
Pay rate: minimum $ 33.00/hour-maximum $ 40.00/hour
Guaranteed hours of work per week: minimum 30 hours
Requirements for the job:
· Minimum of an NZQF Diploma in Business Administration, Management, or a related field; OR at least three years of relevant work experience in a Personal Assistant, Executive Assistant, or high-level administrative role.
· Experience in the construction, building materials, or roofing industry is highly advantageous but not essential.
· Excellent organizational, planning, communication, and multitasking skills.
