We are seeking a highly organised, proactive and reliable assistant to provide comprehensive administrative support to the restaurant manager and director.

About the role:

  • This is a permanent full-time role based in Auckland City.
  • Guaranteed working hours: 30 per week.
  • Pay rate: $29 – $31 per hour, depending on experience.

Key Responsibilities

  • Liaise with kitchen staff, front-of-house team, suppliers, and other stakeholders to ensure the smooth workflow and operational efficiency for the restaurant director and manager

  • Research and prepare reports, briefing notes and documents for menu planning and management meetings

  • Maintain the director’s appointment diaries, schedule management meetings, and coordinate travel arrangements for the director

  • Attend management meetings and act as secretary, taking minutes as required

  • Process incoming and outgoing mail, manage filing systems, and assist in maintaining accurate records of stock levels, financial transactions, and supplier contracts

  • Maintain the restaurant reservation system, including updating availability, assist the restaurant manager in processing online and phone bookings, and ensuring accurate booking records

  • Convert verbal instructions and dictation from the restaurant manager and director into professional written documents, such as emails, letters, meeting minutes, and operational notes

  • Provide administrative support in coordinating special functions, banquets, and private events, including preparing booking details, guest lists, and follow-up communications

  • Support purchasing and supplier management through preparing orders, tracking deliveries, and maintaining supplier documentation

  • Assist with marketing activities, including coordinating social media content, online review responses and preparing promotional materials

  • Maintain confidential files and sensitive business information

  • Provide general administrative support to maintain accurate documentation and records for cleanliness, health & safety, and restaurant presentation standards

 

Requirements

  • Proven experience(2 years) as a personal assistant, or in a similar administrative support role (hospitality experience is highly advantageous)
  • A relevant bachelor's degree or higher may substitute for the required work experience
  • Excellent written and verbal English communication skills
  • Ability to speak and understand Chinese (Cantonese and/or Mandarin)
  • Strong organisational skills with high attention to detail and the ability to multitask in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Map, and basic social media platforms
