Poripori Farm A Trust is seeking a highly organised and motivated Administrator / Board Secretary to support the effective governance and operations of a large and diverse ahu whenua trust.
 
Located in the foothills of the Kaimai Ranges, representing over 1,500 shareholders and spanning 1,500+ hectares of Māori land, Poripori Farm A Trust has a strong presence across agriculture, horticulture, forestry, and investments. This is a unique opportunity to play a key role in supporting a purpose-driven organisation with deep cultural and community roots.
 
About the Role:
This is a full-time (40 hours per week), work-from-home position offering a high level of autonomy, while working closely with the Board of Trustees, Chairperson, and key stakeholders.
You'll be responsible for delivering high-quality administrative and governance support, ensuring smooth day-to-day operations and compliance with Trust obligations.
 
Key Responsibilities:
 
Board & Meeting Coordination
  • Plan and manage Board meeting schedules
  • Prepare agendas, reports, and meeting packs
  • Attend meetings and take accurate minutes
  • Use Board Pro for executive governance and board meeting management
  • Coordinate AGM/SGM processes, including shareholder communications and documentation
Governance & Compliance
  • Ensure compliance with Trust Order and Māori Land Court requirements
  • Prepare and file required documentation
  • Support Trustee processes, including onboarding
Financial Administration
  • Payroll processing and PAYE filing
  • Accounts payable/receivable management (Xero/ApprovalMax)
  • Budgeting and financial reporting processes
  • Liaise with external accountants and auditors
  • Use ApprovalMax for financial management to automate accounts payable and receivable approvals.
Shareholder & Database Management
  • Maintain and update shareholder records
  • Process share transfers and successions
  • Manage dividend distributions and reporting
  • Support shareholder enquiries
Communications
  • Manage website updates and notices
  • Handle incoming correspondence (email, phone, post)
  • Support stakeholder communication
General Administration
  • Maintain accurate and compliant records
  • Support grants processing and reporting
  • Assist with ongoing administrative tasks across the Trust
About You:
The successful applicant will be a highly organised professional who thrives in a self-managed environment and takes pride in delivering accurate, high-quality work.
 
Essential Skills & Experience
  • Proven experience in trust administration and/or board secretarial support
  • Financial administration experience (payroll, accounts, budgeting)
  • Experience working with Boards or governance structures
  • Strong minute-taking and report writing skills
  • Confident using systems such as Microsoft Office, Xero, and online platforms
  • Excellent organisation and time management
  • Strong communication and relationship-building skills
  • High attention to detail and ability to meet deadlines
Highly Regarded
  • Experience using Board Pro and ApprovalMax.
  • Knowledge of Māori land trusts and tikanga Māori
  • A good understanding of Te Reo Māori
