Pay rate: NZD $32 – $35/hour
Role Overview
We are seeking a highly organised, flexible, and trustworthy Personal Assistant to provide business administrative, travel and personal support to the Director of an international consulting business operating between New Zealand and the Middle East.
The role requires a proactive individual who is capable of managing business coordination, international travel logistics, confidential matters, and family and household responsibilities. The role may also provide support for the Director’s two children when circumstances require, particularly during the Director’s absence due to transcontinental travel between New Zealand and the Middle East.
Core Responsibilities
1. Executive and Administrative Support
- Compile reports, internal memos, business communications, and general administrative materials;
- Coordinate the receipt and dispatch of mail, organise documents, and keep records up to date;
- Manage end-to-end travel arrangements for complex international itineraries, including visa processing, flight bookings, and accommodation for NZ-Middle East circuits.
- Maintain confidential records and documentations;
- Manage calendars, appointments, meetings, family milestones, and school-related events, and schedule across multiple time zones
- Provide remote support when the Director is overseas, including monitoring local NZ mail and managing urgent regional tasks.
2. Family and Domestic Supports
- Assist with family travel arrangements, including bookings, schedules, and coordination of logistics
- Provide domestic front support and household coordination when required
- Provide routine support for the Director’s two children when required, including school drop-offs and pick-ups, coordinating attendance at extracurricular activities;
- Assist in maintaining the children’s regular daily routines during the Director’s travel periods;
- Liaise with service providers, schools, contractors, or other household-related contacts as directed
- Managing personal appointments and household item purchasing to ensure the Auckland residence operates efficiently;
- The role may require occasional travel to the Middle East, including Saudi Arabia, to accompany the Director and his family in connection with business arrangements.
Candidate Profile
1. Experience & Qualifications
- Equivalent to a NZ Level 6 Diploma or above, or at least three years of relevant experience in a high-level PA or Private PA role.
- Proven experience in household coordination, personal assistance, or family-related logistical support is highly regarded.
- Demonstrated experience managing international travel and working across multiple time zones is highly regarded.

- Willing to undertake a drug test and background check when required
- A valid clean driving license is highly regarded
3. Working Conditions
- A valid passport and the flexibility to travel would be highly regarded.
- Early-morning or late-evening check-ins may occasionally be required to align with Gulf Standard Time, when the Director travels to the Middle East.
- International Travel may be required occasionally, primarily between New Zealand and the Middle East
