Position Objective:
To provide high-level confidential administrative and operational support to the Director of Crown Tiles, enabling efficient execution of business strategies. This role serves as a key liaison between the Director, internal teams, suppliers, and clients, ensuring seamless coordination of schedules, communications, procurement, and project delivery within the tile and construction supply sector.
Key Responsibilities:
· Manage and coordinate the Director’s complex calendar, appointments, and domestic/international travel arrangements, ensuring optimal time allocation and prioritisation of daily tasks.
· Organise and minute executive meetings, track action items, and proactively follow up on deliverables to ensure timely completion of strategic initiatives.
· Prepare, review, and edit internal and external communications, high-level presentations, reports, and board papers with a high degree of accuracy and professionalism.
· Act as the primary point of contact between the Director and internal departments, external suppliers, contractors, architects, and key business clients.
· Maintain and update supplier databases, client relationship records, and product inventory systems to ensure data integrity and accessibility.
· Support procurement activities including order fulfilment tracking, supplier onboarding, and coordination of stock levels with warehouse and logistics teams.
· Assist with packaging logistics, courier scheduling, and preparation of shipment documentation for local and interstate deliveries.
· Liaise with local suppliers and service providers to negotiate pricing, coordinate orders, and resolve supply chain issues in a timely manner.
· Handle high-priority customer queries and complaints, escalating complex issues to the Director while ensuring satisfactory resolution and maintaining client goodwill.
· Coordinate project timelines and allocate resources for seasonal promotional campaigns, new product launches, and showroom displays.
· Perform general administrative duties including email management, filing, invoice processing, expense reporting, and petty cash reconciliation.
· Provide administrative support for the development of marketing materials and social content plans
· Manage office stationery, gift packaging supplies, and promotional material inventory, liaising with external vendors for replenishment and cost negotiation.
· Support the Director in special projects, strategic planning, and operational improvements as required.
Skills and QualificationsRequirements:
Either a Bachelor’s degree in business administration or a related field
OR
At least 3 years of relevant work experience in an administrative or executive support role
Excellent written and verbal communication skills
Strong time management and multitasking abilities
Proficiency in MS Office Suite and Google Workspace
Familiarity with online retail or supply chain operations is a plus
A high level of professionalism, discretion, and attention to detail
Full time job, 35 hours per week.
