Wage: $32.00-$36.00 per hour
Hours of work: Minimum 35 hours per week, Maximum 40 hours per week, shifted by roster from Monday to Friday
We are bathroom supply store based in Auckland. Most of our bathroomware products are imported from China and Europe, including toilets, vanities, tapware, LED mirrors, heated towel rails, glass showers and other building materials, to meet customer needs for individual customer, a wide range of building companies, developers, and trade professionals across New Zealand.
We are currently seeking an accomplished Personal Assistant to provide strategic and administrative support to company director. This role is ideally suited to a resourceful professional with outstanding organisational, communication, and stakeholder management skills who thrives in a dynamic and fast-moving business environment.
Requirements:
• You must be well educated with at least a Bachelor’s degree qualification in business or other equivalent fields.
• Or have at least 12 months of relevant working experience in an executive support, or personal assistant role
• Excellent verbal and written communication skills, with the ability to interact professionally with clients, suppliers, and internal stakeholders;
• Strong organisational, time management, and multitasking abilities, with a high level of attention to detail;
• Proficient computer skills, including Microsoft Office Suite and other business administration software;
• Sound understanding of business operations, administration, and management principles;
• Ability to adapt to changing priorities and work effectively in a fast-paced environment;
• Strong problem-solving skills and the ability to perform well under pressure while meeting deadlines;
• A proactive, professional, and positive attitude, with the ability to work independently and as part of a team;
• Bilingual communication skills will be highly regarded;
• Knowledge of bathroomware products, including fixtures, fittings, and current design trends, will be preferred
Duties and responsibilities:
• Assist senior management in arranging and managing schedules, including meetings, appointments, and travel arrangements.
• Prepare meeting materials, reports, and presentations, ensuring accuracy and timely delivery.
• Foster effective communication and coordination among staff members to support smooth organizational operations.
• Conduct in-depth research and produce comprehensive reports, briefing notes, memoranda, and correspondence.
• Maintain the confidentiality and privacy of sensitive files and documents.
• Attend meetings as required, performing secretarial duties such as minute-taking and logistical coordination.
• Organize appointment diaries for senior management and make travel arrangements when necessary.
• Process incoming and outgoing mail, maintain meticulous filing systems, and uphold well-organized records.
• Effectively screen phone calls, promptly address inquiries, and direct calls to the appropriate contacts.
• Accurately transcribe dictation of letters and other documents.
• Provide supervision and guidance to secretarial and clerical staff, ensuring their efficiency and productivity.
